1. Introduction and Data Controller
This Privacy Statement explains how the AIP, as the publisher of the AJME, collects, uses, and protects the personal data of authors .
We are the Data Controller for the personal data you provide during the manuscript submission and publication process. Our actions are governed by the General Data Protection Regulation (EU) 2016/679 (GDPR) and the Austrian Data Protection Act (Datenschutzgesetz, DSG).

2. Personal Data We Collect
We collect personal data necessary for the academic publishing process, including:
· Names
· Email addresses
· Academic and professional affiliations
· Mailing addresses
· ORCID iDs
· Biographical information provided by you
· Correspondence related to your manuscript
3. Purpose and Legal Basis for Processing Your Data
We process your personal data for the following purposes based on the corresponding legal grounds under the GDPR:
Manuscript Processing and Peer Review: To manage your submission, facilitate blind or open peer review, and communicate with you, co-authors, and reviewers.
Legal Basis: Art. 6(1)(b) GDPR – Processing is necessary for the performance of a contract (the publication agreement) with you.
Publication and Dissemination: To publish your manuscript and disseminate it within the academic community. This includes making your name, affiliation, and correspondence email publicly available as part of the published article, both in print and online.
Legal Basis: Art. 6(1)(b) GDPR – Performance of a contract and Art. 6(1)(f) GDPR – our Legitimate Interest in maintaining the scientific record and academic standards.
Indexing and Archiving: To submit your article and associated metadata (including your name and affiliation) to academic indexing services, databases, and archives (e.g., Scopus, Web of Science, DOAJ, CrossRef) to ensure its discoverability and preservation.
Legal Basis: Art. 6(1)(f) GDPR – our Legitimate Interest in promoting the visibility and impact of our published research.
Communication: To contact you with editorial queries, proofs, and information directly related to your publication.
Legal Basis: Art. 6(1)(b) GDPR – Performance of a contract.
4. Data Sharing with Third Parties
To facilitate the publication process, we may share your personal data with trusted third parties under strict confidentiality agreements:
Editors and Reviewers: For the purpose of evaluating your manuscript.
Typesetting, and Production Services: Third-party vendors who prepare the manuscript for publication (CrossRef, OJS).
Archiving and Indexing Services: As described in Section 3.
Hosting Providers: For the operation of the AJME website and submission system.
We will not sell your personal data or share it with third parties for marketing purposes. Any international data transfers will be conducted in compliance with Chapter V of the GDPR.
5. Authors Rights as a Data Subject
Under the GDPR, authors have the following rights regarding personal data:
Right of Access: To request a copy of the personal data AIP holds about authors.
Right to Rectification: To request correction of inaccurate personal data.
Right to Erasure ('Right to be Forgotten'): To request the deletion of authors personal data. Please note that this right is limited for published works, as authors’ data is part of the permanent scientific record.
Right to Restrict Processing: To request a limitation on how we process authors’ data.
Right to Object: To object to the processing of authors’ data based on our legitimate interests.
Right to Data Portability: To receive authors’ data in a machine-readable format.
To exercise any of these rights, please contact us in a written form. You also have the right to lodge a complaint with the Austrian Data Protection Authority (Österreichische Datenschutzbehörde).
6. Data Retention
Personal data related to a published manuscript is retained indefinitely as part of the permanent scholarly record. Correspondence and data related to rejected manuscripts will be retained for a period of two years for administrative purposes before being deleted.
7. Consent
By submitting your manuscript to AJME, authors acknowledge that authors have read and understood this Privacy Statement. Authors agree to the processing of authors personal data for the purposes of peer review, editing, production, publication, and dissemination as described herein.
